Step 1 — Fill in the details

Start at the top of the invoice and work your way down. Add your business name and address, your client's name and address, and the invoice number and date. Every field has a sensible default so you can skip anything that does not apply to your situation.

The invoice number auto-increments each time you start a new invoice from the same device, so you never have to think about numbering. You can always change it to match your own system.

Step 2 — Add your line items

Each line item has a description, a quantity, and a rate. The amount column calculates automatically as you type. Add as many rows as you need — the invoice will flow onto additional pages automatically, with a running subtotal on the last page.

You can also set a discount percentage, add shipping costs, and mark the invoice as tax exempt. All of these are reflected in the totals in real time.

Step 3 — Customise the look

Open the Options panel on the right-hand side to personalise the invoice. Upload your logo, choose one of six accent colours, switch to a different currency, and toggle the watermark on or off. Your choices are saved to the draft automatically, so returning to the invoice later keeps all your settings.

The Ink Saver mode removes all fills and colour from the printed output, reducing ink usage without changing how the invoice looks on screen.

Step 4 — Add notes and payment terms

The notes field at the bottom of the invoice is the right place for payment instructions, bank details, late fees, or any special terms you want the client to see. Payment terms (Net 7, Net 14, Net 30, and so on) are set in the invoice summary section just above the totals.

Step 5 — Download and send

Click Download PDF in the Export panel. On desktop a Save dialog opens immediately. On iPhone and Android the system print sheet appears — tap Save as PDF to save the file or share it directly from the same screen.

The invoice is laid out for US Letter paper and prints as a full-width document regardless of the screen it was built on. There is no watermark on the exported PDF and no account required at any point.

Where is my data stored?

Entirely in your own browser. The draft is saved to localStorage automatically as you type, so a refresh or an accidental tab close will not lose your work. The invoice data is never sent to a server — TodaysInvoice has no backend and no database.

What about multiple invoices?

Click New Invoice in the Export panel to clear the current draft and start fresh. The previous invoice is replaced in local storage. If you need to keep a record, download the PDF first.
